Position Summary:
The Executive Assistant / Office Manager is a critical member of Counsel LLP’s operations and leadership support structure, responsible for ensuring seamless day-to-day office functionality while providing high-level executive support to the firm’s Founding Partners. This role is ideal for a proactive, detail-oriented professional who thrives in a fast-paced, entrepreneurial environment and enjoys contributing meaningfully to a close-knit, results-driven team.
The successful candidate will be comfortable wearing many hats and navigating shifting priorities, while exercising sound judgment, discretion, and professionalism. This individual must be adaptable, resourceful, and solutions-oriented, with the ability to anticipate needs, manage competing demands, and maintain operational excellence across the firm.
Duties and Responsibilities:
- Provide comprehensive executive-level support to the Founding Partners, including calendar management, meeting coordination, and scheduling with effective prioritization.
- Assist with analysis and preparation related to client matters, including drafting, reviewing, and revising correspondence, presentations, and internal documents.
- Coordinate complex domestic and international travel arrangements, including flights, accommodations, ground transportation, itineraries, and contingencies.
- Maintain and organize cloud-based storage systems, ensuring accurate file management, version control, and secure access to sensitive materials.
- Assist attorneys in managing workflow for priority clients, helping track deadlines, deliverables, and follow-ups.
- Handle highly confidential and time-sensitive information with discretion, ensuring appropriate actions are taken promptly.
- Serve as a point of contact and liaison with senior management, high-level industry executives, clients, peers, and outside vendors with flexibility and a cordial demeanor.
- Manage daily office operations to ensure a smooth, organized, and professional work environment.
- Open, sort, and distribute incoming correspondence, including email and physical mail.
- Manage outgoing mail and deliveries, including USPS and FedEx shipments, tracking, and coordination of reciprocal mail for original client signatures.
- Maintain office supplies, kitchen inventory, and office equipment; coordinate with vendors for hardware, IT, and facility needs as required.
- Answer phones, route calls appropriately, and greet visitors to the office.
- Partner with the Director of Operations to create, refine, and document office processes and systems that improve efficiency, organization, and overall effectiveness.
- Oversee and maintain the governance and maintenance of internal communication systems, including office directories, phone lists, and email distribution groups, ensuring accuracy and reliability.
- Champion the overall workplace experience and standards, maintaining a high-quality “look and feel” across all common areas, supplies, and equipment to support productivity and brand alignment.
- Serve as the primary liaison with building management and facilities partners, proactively coordinating maintenance, resolving issues, and ensuring uninterrupted office operations.
Qualifications, Skills and Education Requirements:
- 3+ years of demonstrated success supporting senior leaders in an administrative capacity.
- Exceptional verbal and written communication skills, with the ability to interact professionally with internal teams and external stakeholders.
- Strong organizational skills with the ability to manage multiple priorities simultaneously in a fast-paced environment.
- Impeccable attention to detail and commitment to accuracy.
- Demonstrated ability to handle high-pressure situations with calm, professionalism, and sound judgment.
- High levels of integrity, discretion, and trustworthiness when handling confidential information.
- A positive attitude, sense of humor, and ability to work hard while maintaining a collaborative and enjoyable workplace culture.
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and the ability to quickly learn and adapt to new software platforms, including project management tools, cloud storage systems, timekeeping and client billing software, data security tools, and video conferencing platforms.
