Position Summary:

Dreamliner is seeking an enthusiastic, detail-oriented Charter Agent to join their growing team. This role will serve as the primary executor of client relationships, ensuring that every interaction and booking reflects Dreamliner’s reputation for world-class service. In addition to handling inquiries, preparing quotes, and coordinating logistics, the Charter Agent must have a strong understanding of the nuances of tour travel, including the truck and bus requirements that go into executing successful tours. The role will also drive new business development by actively prospecting, generating leads, and converting opportunities into sales. By combining relationship management with operational expertise, this role ensures a seamless experience for their clients from initial contact to trip completion.

Duties and Responsibilities:

  • Serve as a primary point of contact for charter clients, delivering professional, responsive, and personalized service before, during, and after each trip. 
  • Respond promptly to inquiries via phone, email, and online platforms; gather trip details; prepare accurate quotes; and guide clients through booking decisions to convert leads into confirmed bookings. 
  • Coordinate and manage all aspects of trip logistics including schedules, routes, vehicle availability, driver assignments, and communication while ensuring alignment with client expectations and operational requirements. 
  • Understand and anticipate the unique needs of touring clients. 
  • Prepare and manage all trip documentation, including confirmations, contracts, invoices, and itineraries, with accuracy and attention to detail. 
  • Maintain up-to-date records in CRM and reservation systems, tracking leads, bookings, fleet availability, and client communications for reporting and continuous improvement. 
  • Partner closely with internal teams, including operations, dispatch, and drivers, to ensure flawless execution and timely resolution of last-minute changes or challenges. 
  • Provide excellent customer service throughout the client journey, proactively addressing issues, troubleshooting with urgency, and reinforcing strong client relationships through follow-up and feedback collection. 
  • Build, nurture, and expand relationships with tour managers, production teams, and other key industry decision-makers to generate new business opportunities and long-term partnerships. 
  • Proactively generate, pursue, and close new business opportunities to expand Dreamliner’s client base and increase sales. 
  • Maintain a strong working knowledge of Dreamliner’s fleet capabilities, services, pricing structures, and safety standards to accurately represent the company to clients. 

Required Qualifications:

  • Proven ability to build and maintain strong client relationships, acting as a trusted partner and point of contact. 
  • Demonstrated track record of success in business development and sales, with proven ability to generate leads, close deals, and drive revenue growth. 
  • Strong verbal and written communication skills. 
  • Exceptional organizational and multitasking abilities. 
  • Proven leadership in high-pressure environments. 
  • Customer-focused attitude with a passion for service and problem-solving. 
  • High attention to detail and accuracy in preparing quotes and managing complex logistics. 
  • Have a working knowledge of logistics and geography in the US and Canada. 
  • Proficiency with Microsoft Office and reservation or CRM software; experience with motorcoach scheduling systems is a plus. 
  • Ability to work flexible hours, including some weekends or evenings during peak travel seasons. 

Background Qualifications:

  • High school diploma or equivalent required; Associate’s or Bachelor’s degree in Business, Hospitality, or related field preferred. 
  • 2+ years of experience in sales, reservations, travel planning, or customer service, with direct experience in tour management or the live entertainment/touring transportation industry strongly preferred.
